Travel GHR provides corporate and group travel management for companies planning events, technology and product launches, incentive trips, and large group programs. Nicci Grotefendt, a travel agent and the founder, handles group air, rooming, logistics, and on-site coordination directly, so one advisor owns the details from first plan to final departure.

This week I am in Orlando hosting two corporate events, and they are not my first this year. In February 2026 I ran a corporate event in Orlando for one hundred attendees. In May I organized and hosted a series of corporate events and a large creators event in the same city. Corporate and group travel is not a side line for me. It is work I do in the room, on the ground, with real deadlines and real people counting on the details being right.

What does corporate and group travel management include?

Corporate and group travel management is the end to end planning and coordination of travel for a company program. For the groups I manage that means group air and ground transportation, room blocks and rooming lists, meeting and event space, arrival and departure logistics, and on-site coordination while everyone is together. The four areas I focus on are corporate events, technology and product launch events, incentive trips, and group travel management for larger programs.

    • Corporate events. Company meetings, leadership gatherings, and multi day programs where travel, lodging, and the event itself have to move as one.
    • Technology and product launch events. Higher stakes timing, staged rooms, and attendee flows where a missed transfer is a missed moment.
    • Incentive trips. Reward travel that has to feel personal and earned, not processed. I break this work down in my incentive travel programs guide.
    • Group travel management. Larger groups moving together, where one plan and one point of contact keep everyone aligned.

Why work with one travel agent instead of a booking tool?

A booking tool can hold a reservation. It cannot rebook forty people when a flight is canceled the night before a keynote, or notice that a rooming list has two names for one bed, or stand in a lobby at six in the morning making sure the buses are where they should be. When you work with me you get one travel agent who owns the plan from the first call to the final departure. If something moves, I move with it. That single point of accountability is the difference buyers feel most when a program is under pressure.

You can see how I structure this on my corporate travel services page.

What is changing in corporate and incentive travel for 2026?

In person programs are firmly back. Event professionals tracked by the meetings industry expect attendance to keep rising in 2026, with product launches and internal team meetings among the fastest growing formats. At the same time, the Incentive Research Foundation reports in its 2026 Trends Report that incentive travel has shifted from a perk into a measurable business tool, with companies asking how a trip affects retention, morale, and results. The Foundation also consistently finds that free time and genuine downtime rank among the most valued parts of any incentive trip, which is why I build room to breathe into every itinerary rather than filling every hour.

Geopolitical uncertainty is now the risk buyers name most often, which raises the value of an advisor who watches the details and can move a group quickly when conditions change. I wrote more about the case for this kind of travel in the business case for corporate incentive travel.

What does hands on event travel actually look like?

It looks like the Orlando events I am running right now. Before the group arrives, the plan is already built and stress tested. During the program I am reachable and present, watching transfers, room readiness, and the small handoffs that decide whether an event feels smooth or frantic. After everyone goes home, I close the loop so the next program starts from a better place than the last. This is the same first-hand, in the room approach I teach other advisors through The Conscious Creator, my education program for travel agents.

    How do we start?

Tell me about your program. The size of the group, the destination or the goal, the dates you are holding, and what a successful event looks like for your company. From there I will map the travel and the logistics around it. If you are planning a corporate event, a product launch, an incentive trip, or a group departure, I would be glad to help you design it and run it well.

Earlier is better, especially for group air and room blocks, but strong programs come together on shorter timelines too. The first step is a conversation about the group size, dates, and goals so the plan can be built around them.
